The short version: we read the notes you upload so we can file them into your CRM. We don't sell your data, we don't use it to advertise to you, and we keep as little as we can.
Who we are
LetMeSell is software that reads handwritten sales notes and files the contacts, companies, deals, notes and tasks into your CRM. It's run by Ben Shellington, doing business as LetMeSell, in Florida, USA. Questions about this policy go to support@letmesell.ai.
What we collect
Your account
Your email address, which is your LetMeSell login.
How many notes you've scanned, and whether you're on a paid plan.
If you pay: your plan, number of seats and the Stripe customer ID. Stripe handles your card. We never see or store card numbers.
The notes you upload
The photo, scan or PDF of your handwritten note. We send it to our AI provider to read the handwriting, then return the result to you. We don't store the image on our servers.
What was read from the note: names, companies, emails, phone numbers, deal details and meeting notes. On our website this is saved in your own browser so your desk is there next time. It isn't stored on our servers.
Calls you record
When you record a call or upload a recording, your browser sends the audio to us in 30-second pieces. Each piece is transcribed by AI on Cloudflare Workers AI and then discarded. We don't store call audio.
The transcript is sent to our AI provider to write the summary, contacts, deals and next steps. The transcript and summary are saved in your own browser with the rest of your desk, and in HubSpot if you send the call there.
You're responsible for getting consent from everyone on a call before you record it. Many states, including Massachusetts and Florida, require every person's consent. LetMeSell asks you to confirm this each time.
Your HubSpot connection
When you connect HubSpot, HubSpot gives us access and refresh tokens for your portal, plus your portal ID and domain. We store these so we can file notes for you.
When we file a note, we keep a short record of what was created (record IDs and names) for up to 180 days, so the same note isn't filed twice.
Basic technical data
Like any website, our hosting providers process IP addresses and request logs to deliver pages and stop abuse. We don't use advertising trackers.
How we use it
To read your notes, transcribe and summarize the calls you record, and show you the result.
To create and update records in the CRM you connected, only when you choose to send a note there.
To run your free trial and paid plan.
To answer you when you contact support.
We don't sell personal information. We don't use your notes or your CRM data to train AI models, and our AI provider processes them under commercial terms that don't allow training on customer content.

We'll also share information if the law requires it, or to protect people from harm or fraud.
How long we keep it
Account and plan data: while your account is active, then deleted on request.
HubSpot tokens: until you disconnect HubSpot or uninstall the app. Then we delete them.
Filing records: up to 180 days.
Note images: not stored after they're read.
Call audio: not stored after it's transcribed.
Your choices
Disconnect HubSpot any time from the HubSpot panel in LetMeSell, or uninstall the app in HubSpot. We stop accessing your portal and delete the tokens. Records already filed stay in your HubSpot. They're yours.
Clear your desk by clearing your browser's site data for letmesell.ai.
Access or delete your data by emailing support@letmesell.ai. We'll handle it within 30 days.
Depending on where you live, privacy laws such as the GDPR or California's CCPA may give you more rights. Email us and we'll honor them.
Security
Everything travels over HTTPS. HubSpot access uses OAuth, so we never see your HubSpot password. Tokens are stored in our backend and are never exposed in the browser. No system is perfectly secure, and if a breach ever affects your data, we'll tell you promptly.
Children
LetMeSell is a business tool and isn't meant for anyone under 18.
Changes
If we change this policy, we'll update the date at the top. If a change is significant, we'll tell you by email or in the app first.
