LetMeSell for HubSpot

Setup guide and the data LetMeSell reads and writes

Watch the 2-minute demo

Connect HubSpot, file a handwritten note, and file a recorded call, start to finish.

What it does

Write your meeting notes by hand on the LetMeSell template. Snap a photo or scan it. LetMeSell reads the handwriting and files the right records into HubSpot: contacts, the company, deals, a meeting note and follow-up tasks, all linked together. You review everything before it's sent.

It works for calls too. Record a Teams, Zoom or Google Meet meeting, a phone call on speaker, or upload a recording. LetMeSell transcribes it with AI, writes a summary with key points, decisions and action items, and files it into HubSpot the same way, with the summary and transcript on the meeting note.

Connect HubSpot

  1. Open the LetMeSell app at letmesell.ai/floor and enter your work email to start your free trial.
  2. Click HubSpot in the top bar, then Connect HubSpot.
  3. Sign in to HubSpot if asked, pick the account you want notes filed into, and click Connect app. You need to be a HubSpot Super Admin, or have permission to install apps.
  4. You're sent back to LetMeSell, and the top bar shows HubSpot with a check mark.

File your first note

  1. Print the template from the paper stack, or use your own notes. A business card works too.
  2. Write during or after the meeting: the company, contacts, what you discussed and each deal with its next step.
  3. Click the scanner on the desk and upload a photo, scan or PDF. Up to 2 pages.
  4. Check the review screen. Anything that was hard to read is highlighted, so fix it here.
  5. Click Send to HubSpot. LetMeSell tells you what it filed: the contacts, deals and tasks, plus the meeting note.

File a call

  1. Click the brass microphone on the desk, or Record a call below the scene.
  2. Pick Teams, Zoom or Google Meet (share the meeting tab with its audio), Phone call or in the room, or Upload a recording.
  3. Tick the box confirming everyone on the call knows it's being recorded, then start. The transcript fills in live as you talk.
  4. Click Stop and summarize. Check the summary, contacts and deals on the review screen, then send it to HubSpot.

Prefer it automatic? In the HubSpot panel, tick Send each note to HubSpot as soon as I file it.

How it decides what to create

  • No duplicates. Companies are matched by domain, then name. Contacts by email, then first and last name. Deals by name.
  • Your data wins. For records that already exist, LetMeSell only fills empty fields. It never overwrites values you've set, except a deal's stage, amount, close date and next step, which update from your newest note.
  • Your dropdowns. Stages, lead statuses and other dropdown values are matched to the options in your own portal. A value that doesn't fit is left blank and listed in the result.
  • Same note, sent twice? LetMeSell recognizes it and won't create it again.

Data LetMeSell reads and writes

HubSpot objectAccessWhat LetMeSell does with it
ContactsRead and writeSearches by email or name to find existing contacts. Creates new contacts and fills empty fields: name, email, job title, mobile, company, address, salutation, lead status, lifecycle stage, seniority and buying role. Adds the last meeting date, meeting address and latest meeting note.
CompaniesRead and writeSearches by domain or name. Creates the company or fills empty fields: name, domain, website, phone, address, industry, lead status, lifecycle stage and target account. Associates contacts and deals with it.
DealsRead and writeSearches by deal name. Creates the deal or updates stage, amount and close date. Sets next step, priority, forecast category, probability, deal type, won or lost reason, buyer, pain points, objections, competitors and next-step deadline. Associates the deal with its company and contacts.
Deal pipelinesReadReads your default deal pipeline so stages on the note match your own stage names.
NotesWriteCreates one note per meeting with the discovery details, attached to the company, contacts and deals.
TasksWriteCreates a task for each next step with its due date, a call task the day before a deal's close date, and a check task for any handwriting that was hard to read.
PropertiesRead and createReads property options so dropdown values match your portal. Creates a small set of LetMeSell properties (in a group called LetMeSell) the first time you file a note.

Sync is one way: from your notes into HubSpot. LetMeSell doesn't change or delete records you didn't send, and it never deletes anything.

Disconnect or uninstall

In LetMeSell, open the HubSpot panel and click Disconnect HubSpot. Or in HubSpot, go to Settings, then Integrations, then Connected Apps, and uninstall LetMeSell. Either way, our access ends right away and we delete the stored tokens. Records already filed stay in HubSpot. The LetMeSell properties stay too, and you can delete them in HubSpot's property settings if you like.

Pricing

Your first 5 notes are free. Then Solo is $29 a month. Team is $25 per rep per month for 2 to 9 reps, and Sales Floor is $19 per rep per month for 10 or more reps. The HubSpot connection is included in every plan.
